Welcome to the team — we’re so glad you’re here.

Thank you for signing up to volunteer for the Change Make*Hers Gala. Your presence helps us create an unforgettable experience for ~320 guests, while celebrating women and girls in sports and funding access, equity, and opportunity through the Taylor LEAD Foundation + iWIN Sports.

Quick essentials (read this first)

Arrive 30 minutes early for check-in + briefing + assignment.
Attire: comfy/casual for daytime shifts • black business attire for evening shift.
Food provided: lunch (daytime shifts) • dinner (evening shift).
Parking + Entry: park between ExtraMile Arena & Albertsons Stadium → enter South Entrance (Stueckle Sky Center).

Parking + arrival flow

Plan to arrive 30 minutes before your shift so you can park, check in, and get assigned smoothly.

Enter the Albertsons Stadium lot and park between ExtraMile Arena and Albertsons Stadium.

Walk to the South Entrance of Stueckle Sky Center and check in with Volunteer HQ.

Attire + meals

Help us keep the look cohesive and guest-facing roles polished.

Daytime shifts (setup)

Comfy/casual + closed-toe shoes. You’ll be moving, lifting, staging, and prepping.

Evening shift (guest-facing)

All black business attire: black dress, black suit, or black blouse/shirt + black pants. Sneakers (Heat on Your Feet is the theme!!) encouraged.

Meals provided

Lunch for daytime shifts • Dinner for evening shifts. Water/snacks available at Volunteer HQ.

Pro tip

Bring a refillable water bottle and keep essentials minimal (phone, small bag) so you can move easily.

Event timeline

This is the “big picture” flow so you can anticipate peak moments and pacing.

  • 9:00am–5:00pm Setup
  • 3:30–4:30pm Registration training (AuctionFrogs System) + final checks
  • 4:30pm VIP Registration Opens
  • 5:00pm VIP Reception
  • 5:15pm Doors open to all guests
  • 6:30pm Program begins with dinner
  • 7:00pm Awards begin
  • 8:00pm Live Auction
  • 9:30pm Checkout opens / Program ends
  • 11:30pm Teardown ends

Volunteer shifts at a glance

Sign up for one shift (or more if you’d like). We’ll rotate roles and build in breaks during the evening shift.

Arrival rule: show up 30 minutes before your shift starts for check-in + assignment.

Setup Crew (Morning / Midday)

Gala Night Event Team (Evening)

Guest experience + VIP support + program flow. We’ll rotate you through roles + breaks.

  • Runners, signage, floor support

Checkout + Teardown Support

All Black

Help close the night strong — guest checkout flow and breakdown support.

Sample roles you may be assigned

You’ll get your final assignment at Volunteer HQ. These are examples to help you picture the flow.

Registration Volunteer

Bring your own laptop + charger. Help check guests in, confirm bidding numbers, and troubleshoot (with training).

VIP / Honoree Escort

Warm, calm presence. Guide VIPs/honorees to photo moments, stage staging, and key locations.

Spirit Tunnel + Guest Energy

Bring the vibe. Welcome guests, celebrate honorees, and help create “moment” energy at arrivals.

Auction Spotter / Floor Support

Help identify bids, communicate bidder numbers, and support flow during the live auction.

You’ll always have a point person — if something feels unclear, pause and ask your Volunteer Lead. We’d rather be aligned than rushed.

What if I can’t make my shift?

Please update your SignUpGenius slot as soon as possible and email hello@taylorleadscholarship.com so we can backfill the role. We rely on volunteers, so early notice makes a big difference.

Where do I check in?

Enter through the South Entrance of Stueckle Sky Center and follow signs to Volunteer HQ. You’ll check in, receive your assignment, and get a quick briefing.

Will I get a break during the evening shift?

Yes. The evening team is designed to rotate through roles so you can take breaks and grab dinner while we keep guest-facing coverage strong.

Can I stay for the program after my assignment?

If your role allows and your Lead clears you, absolutely. We’d love volunteers to experience the inspiration in the room — especially keynote and honoree moments. We have designated seating for volunteers in the Loft!
